Job Type/Schedule: Full-Time, In-Person (overtime expected and possible travel)

The Job: Our firm is seeking an executive assistant with a minimum of five years of experience as an executive assistant to join our team. This position will be responsible for supporting, prioritizing, and scheduling of the Managing Partner of the law firm, who also serves as a lead trial attorney in a multi-jurisdictional practice. This position requires communicating effectively internally and externally both in person, via telecommunications, and the written word. This position requires the ability to juggle many information sources, multiple tasks, and aligning priorities in an ever-changing, passionate environment. Maintaining absolute confidence and privilege of information learned as a part of this role is of utmost importance. This position is for an in-office position based in Oklahoma City with travel.

The right Executive Assistant must:

  • Be highly proficient in Windows, Microsoft 365, Teams, Excel, Word, Outlook, PowerPoint, Adobe Acrobat 

  • Advanced knowledge in Apple and Google products 

  • Be technologically savvy and be able to learn new technology/software quickly and proficiently 

  • Be able to maintain the strictest confidentiality 

  • Possess at least 5 years of experience as an executive assistant 

Additionally, the right Executive Assistant will be confident and proficient in the following:

  • Manage email inbox(es) for Managing Partner  

  • Manage travel and expense reporting of Managing Partner 

  • Manage and coordinate Managing Partner’s involvement in personal charities, organizations, and vendors outside of the Firm 

  • Manage and coordinate the calendars and task lists of Managing Partner  

  • Take and screen all calls and take messages for Managing Partner  

  • Prepare and proofread draft letter and email correspondence 

  • Be able to work with IT provider to provide technical support to Managing Partner  

  • Prioritize and communicate proactively, and be an expert in “following up” 

  • Communicate well with other employees, clients, vendors, and couriers 

  • Schedule, coordinate, and assist Managing Partner to prepare for meetings, conferences, etc. - both internal and external 

  • Manage and execute a variety of projects and tasks related to business operations, as assigned 

  • Provide superb proof-reading and document formatting in Excel, Word, and Adobe 

  • Be able to maintain the strictest confidentiality
